Credit Card Transactions via PC (ICVERIFY)

Introduction: Purchasing Services accepts credit card payments for a variety of transactions. For example: we accept credit card payments for BIS Subscriptions and payments by credit card for U-Wide Contract Administrative Fees by participating vendors.

ICVERIFY is located on the Office Managers PC and it is specifically setup for processing those credit card transactions electronically to the appropriate credit card companies.

  1. Data Entry Process

    1. Click the ICVERIFY Icon on the Desktop
    2. Key-in Customer Information

      1. Account Number - key in the credit card number
      2. Exp Date - The Expiration date in mm/yy order
      3. Customer Name - Name listed on the card
      4. Clerk - Name of data entry operator processing the transaction
      5. Amount - The amount of the transaction
      6. Comment - A brief summary of the transaction
      7. Tax Amount - Always put "0" as the U of MN is tax exempt

    3. Click the Submit Button - Before clicking the button, be sure there is no voicemail waiting in the telephone system attached to the computer.
    4. Now you will hear the telephone dialing sound and in a box in the right central portion of the screen, you will notice the following messages apprearing, one right after the other:

      • Waiting for Answer
      • Connected - Verifying
      • Approved - approval number (which is several digits)

    5. The printer will print a sales receipt
    6. At the bottom of the screen, the following columns will appear:
    7. Status Type Clerk Comment Account # Exp Date Amount
      Approved Sale Chuck Vendor Name 1235557575 11/02 3286.71

    8. Exit from the system, unless the account needs to be settled for the day.

  2. Settlement at the end of the day

    Until the settlement process is performed, the money recorded will not be transferred into our account.

    1. Click the ICVERIFY Icon on the Desktop
    2. Click the Function menu item (on the top of the screen)
    3. Click Settlement/End Day
    4. Click Perform Settlement/End Day Process

      Again, before clicking on the Perform Settlement button, make sure you don't have any voicemail messages waiting in the telephone. For reasons unknown, if there are voicemail messages present, the verification call does not go through properly.

      Now you will hear the telephone dialing sound and in a box in the right central portion of the screen, you will notice the following messages apprearing, one right after the other:

      • Waiting for Answer
      • Connected - Verifying
      • Approved - approval number (which is several digits)

    5. Settlement/End Day performed. View the settlement report(s) for the results or errors of the last settlement and print the report.

      1. Click Report on the menu item seen at the top of the screen.
      2. Click Settlement Result
      3. Click View Report
      4. Click OK - Now the report will appear on the screen.
      5. Select File from the Menu
      6. Click Page Setup
      7. Select Landscape and OK
      8. Select File and click Print

      Keep this report along with the copy of the sales receipt in a file until the Moneta Report shows that this amount has been credited to the University account. Staple both the credit card reports underneath the Moneta Report and file away.
