Human Resources/Filling Empty Positions
Introduction: The Office Manager is responsible for all Human Resource and Payroll issues for the Purchasing Department. The Executive Secretary is the back up.
Job Posting:
Civil Service/Bargaining Unit Employees
Vacant positions are filled by sending a job requisition to the Job Center of Human Resources department. The required form can be obtained from the Forms Library in U of M Web site. From U of M home page, do a search for Forms Library; click "U-Wide Forms Library; click Human Resources. This will bring you the list of all human resources forms (alphabetical order). Click "Position Requisition" in PDF format.
Since this form is interactive, you can either fill it and then print-out or take a print-out of the form and then fill-out (See Attachment A for blank form and Attachment B for completed form)
If you need any guidance, call the HR Recruitment Specialist (Dee Dee Roberts @625-8802) who will walk you through the form as various positions have different specs and descriptions.
The completed form must be signed by both the department head and the administrative officer (the Controller). Send the form to the Recruitment Specialist, Human Resources Department, 200 Donhowe Building, MPLS.
When the position is posted, you will get a copy of the requisition with a Job Number and an instruction sheet explaining the "Do's" and "Don'ts" of recruitment. Follow those instructions. The requisition copy is filed in the Office Managers files.
Temporary No Post Appointments:
If you have a qualified candidate and the position needs to be filled urgently, that person can be appointed up to a year without posting a job requisition. However, you have to fill the Position Requistion form as explained above and send to HR with an inscription,
"NO POST - TEMPORARY".
ALWAYS CALL THE HR CONSULTANT AND/ OR THE RECRUITMENT SPECIALIST, IF NOT SURE ABOUT ANYTHING.
Student Job Posting:
For all student job vacancies, use the same form we use for recruiting regular employees. Only exception is when hiring a student without posting the requisition at the Job Center. Once the job is posted, the interview and hiring process is the same as above.
If you have an eligible student, you can appoint that person on a "Quick Hire" form, which is available at the same web site as the "Position Requisition" form.
