BIS Administrative Procedures - Weekly Tasks
Introduction: CED received a weekly mailing of the vendors in BIS, and an expiration report is sent to vendors in order to keep their renewals current.
- Vendor Mailing to CC Strom in CED - Done on Monday mornings
- Login to BIS as an Admin
- Click on Vendor Records
- Choose Current Subscribing Vendors from the Search dropdown list
- Click the "Find" button
- Click the "Export to File" button - this sends an email to your x.500 account (the e-mail is forwarded to the Groupwise account in most cases)
- Open your email and find the message titled: "BIS Automated Export"
- Open the message and save the text attachment titled vendorexport.txt to your Desktop - do this by right-clicking on the attachment and choosing Save As from the menu.
- Open up Excel
- Choose "Get External Data" from the Data Menu, and then choose "Import Text File"
- Choose the vendorexport.txt file from your Desktop - and click the Import Button (Bottom right-hand side)
- Follow the Text Import Wizard
- Click Next, Next, Finish, Ok.
- Save the Excel file as: "Bis (insert current date ie: 022502)"
- Attach and send the Excel file to CC Strom in CED at strom048@tc.umn.edu as well as sending a CC'd copy to tbah@csom.umn.edu The subject of the email is BIS Vendor Information
- Expiration Report - on Monday morning after processing all check/credit card payments
- Login to BIS as an Admin
- Click on Subscription Expiration Report
- Choose two weeks prior to current date for the first field
- Choose two weeks future to the current date for the second field
- Click the "View Report" button
- Click the "Prepare E-Mail Notifications" button at the bottom of the screen
- Add the following line to the bottom of the notification email:
"If you have any questions, please feel free to contact BIS Help at 612-625-5534, or e-mail at bishelp@tc.umn.edu "
- Click the "Send Now" button
- You will get an Email Notification Status screen when the task is complete.
